Tenant Coordinator

Location: Reporting to: Property Manager

Reporting to the Property Manager, the successful candidate will fill the position of Tenant Coordinator for a residential property located in Edmonton. The primary responsibility of this role is to serve as the main contact for tenants as well as deliver prompt and consistent information/reporting to the Property Management Team.
• Be the first point of contact for tenants, visitors, and contractors; deal promptly and professionally with any queries or complaints that may arise
• Respond to tenant calls and emails in a timely and professional manner
• Gather required tenant information and paperwork and ensure information is fully completed
• Perform scheduled checks of the building including the common areas, parkade, mechanical and storage rooms, etc.
• Assist in the onboarding of all new tenants
• Schedule Move In/Move out’s with tenants along with elevator bookings
• Complete move in/out suite inspections
• Supervise and log all scheduled work on site and liaise with approved contractors
• Review video surveillance footage as required
• Set up/close work orders
• Liaise with maintenance team to ensure work orders are completed in a timely manner
• Follow established health and safety procedures
• Liaise with leasing department as required
• Assist with general property administration, access card programing, booking of elevators, loading dock booking
• Provide back up to Property Administrator roles (AP/AR)
• Provide back up to Property Manager
• Ensure proper office file management and archive of files, leases, and emails, scanning of documents.
Qualifications
• Professional outlook and demeanor, great organizational, communication, and critical thinking and problem-solving skills
• Self-starter and motivated individual with propensity to working alone
• Flexible in approach while being a good team player
• Dependable, reliable, and able to work well under pressure and be calm and collected when emergencies arise
• Flexibility to working weekends
• Proficient in Microsoft Word, Excel, and Outlook
• Must be fluent in English and have excellent verbal and written communication skills
• A post-secondary degree or equivalent work experience would be considered an asset To fulfill this role successfully, you should demonstrate the following minimum qualifications:
• Two years of office administration experience, ideally in a customer service-oriented industry
• Previous experience in Property Management and/or Real Estate is an asset
• Proficient in Microsoft Office; knowledge of Yardi is an asset
